China Import & Operations Readiness Manager

This role supports the coordination of China import and operations readiness activity, with a focus on documentation, testing samples, labelling, translations, supplier milestone tracking, shipment coordination, and ERP data accuracy. Working under the direction of the relevant Supply Chain, Compliance, Finance, Product, Quality and Customer Operations functional owners, the role will coordinate information between suppliers, laboratories, freight forwarders, approved local partners and internal teams.
The role requires fluency in written and spoken Mandarin and English, together with strong bicultural communication skills, to support clear communication between China-based partners and global teams. The role supports operational readiness for China orders by maintaining accurate data, documentation and milestone tracking, but does not own commercial, legal, tax, customs or customer decisions on behalf of the business.
Authority & Scope
This is a coordination and operational readiness role, based in China and supporting FitFlop’s approved China-related import readiness activity.
The role does not carry authority to enter into contracts, negotiate or agree commercial terms, approve expenditure, make pricing or sales decisions, represent FitFlop before tax or customs authorities, or bind the company in China.
Final decisions and approvals remain with the relevant FitFlop functional owners and approved external or local partners.
The Responsibilities:
China Import Readiness Support
Support the development and documentation of import process options into China, including customs clearance models, for review and approval by the relevant functional owners.
Coordinate information with freight forwarders, customs brokers and approved local partners, communicating directly in Mandarin where required.
Assist in documenting standard operating procedures (SOPs) for China imports, including incoterms, shipping documentation and inbound timelines, for functional approval.
Support the accurate collation and checking of HS codes, customs values, country of origin and import licences or registrations where required.
Act as a coordination point for China customs and import-related information, escalating decisions to the appropriate functional owner.
Supplier Milestone Tracking & Shipment Coordination
Liaise with suppliers on production milestone tracking, helping ensure manufacturing progress is visible and aligned to shipment and delivery schedules.
Flag risks to production or shipment timelines early and coordinate follow-up with suppliers and internal teams.
Coordinate shipment consolidation under direction from Supply Chain, supporting efficient grouping of orders and inbound freight planning into China.
Track inbound logistics milestones into China, including shipment scheduling, tracking and handover to customs clearance and delivery partners.
Provide milestone updates to support order priorities, delivery planning and customer service visibility.
Test Sample Coordination
Coordinate the end-to-end test sample process, from requesting samples from suppliers through to shipping, customs clearance and lab submission.
Support accurate labelling, documentation and declaration of test samples in line with China customs and laboratory requirements.
Track sample timelines closely to avoid delays to import readiness and product launch milestones.
Act as the central point of coordination between suppliers, labs and internal teams on testing-related samples.
Labelling & Translation Coordination
Coordinate China-compliant product labelling activity under direction from Product, Quality and Compliance, ensuring alignment with regulatory, customs and testing requirements.
Coordinate Chinese translations for product labels, packaging and regulatory-supporting documentation, working with approved translation providers where required.
Support accuracy, consistency and approval of translated content prior to testing, import readiness and order release.
Coordinate input from Product, Quality, Compliance and Suppliers to validate labelling and translations before production and shipment.
Track labelling and translation readiness against testing timelines, inbound shipments and customer order cut-offs.
Customer Operations Readiness Support
Provide information and milestone updates to Customer Operations and Order Management teams so import, testing, labelling, production tracking and inbound readiness are visible and understood.
Support confirmation that products are import-ready, tested, labelled and inbound on time in line with approved order and delivery plans.
Flag logistics risks or issues impacting order flow, delivery timelines or customer commitments, and coordinate issue resolution with the relevant functional owner.
Support the handover from import and compliance readiness into BAU order fulfilment, helping minimise disruption to customers.
ERP Data Accuracy & Milestone Tracking
Maintain accurate and up-to-date information in the ERP system, such as item status, testing approval, labelling readiness, shipment milestones and inbound dates.
Support data integrity across production status, shipment details, customs readiness and order release.
Work with Supply Chain, Customer Operations and Finance teams to ensure ERP data supports ordering, allocation, invoicing and delivery execution.
Identify and support correction of data gaps or inaccuracies that could impact import clearance, inbound delivery or customer fulfilment.
Cross-Functional Coordination
Work with Supply Chain, Customer Operations, Product, Quality, Compliance, Sustainability and Finance teams to embed China import and readiness requirements into the critical path.
Provide clear status updates and practical guidance, agreed with the relevant functional owners, on China import, testing, labelling and inbound readiness requirements.
Identify risks across production, inbound logistics, customs, testing and data accuracy, and support mitigation planning and follow-up actions.
Support internal audits and regulatory or compliance reviews related to China import readiness activity.
The Person:
Essential
Proven experience in international logistics and import operations, with hands-on exposure to China imports.
Experience working directly with suppliers on production tracking and inbound shipment coordination.
Fluency in written and spoken Mandarin and English.
Strong bicultural communication skills, able to bridge regulatory and operational requirements between China-based partners and global teams.
Strong understanding of customs processes, freight management and shipping documentation.
Experience coordinating product testing, labelling and regulatory documentation.
Strong attention to detail, particularly in ERP and data accuracy.
Desirable
Experience in retail, apparel or footwear supply chains.
Familiarity with China GB standards and local regulatory frameworks.
Experience supporting new market or country import readiness processes.
Experience working with NetSuite or similar ERP systems.
